Privacy Policy

We design Tool’Ami with privacy in mind. This policy explains what we process, why, and how you can exercise your rights.

Overview

• On‑device first: QR generation and OCR happen on your device.
• No content archive: Scanned documents and voice recordings are processed and emailed, then deleted. Tool’Ami does not keep a cloud archive of your content.
• Optional location: Location is off by default and only added when enabled per document type.
• Secure delivery: Email sending uses a secure, encrypted backend.

Data We Process

Provided by you

• Contact details for your vCard and signature (name, email, phone, company, title). Stored locally on your device and, if you enable it, synced with your iCloud account.
• Contacts and recipients you configure in Settings. Stored locally (and optionally via iCloud sync).
• Custom prompts you define for voice notes and scanning. Stored locally (and optionally via iCloud sync).

Captured content

• Documents and images you scan are processed to create OCR‑searchable PDFs. After the email is sent, the generated files are deleted from our processing pipeline.
• Voice recordings are transcribed and formatted into text, then emailed. Recordings and intermediate files are deleted after processing.
• Location (optional) may be included in emails when you enable it for a document type.

How Processing Works

• On‑device: QR code generation and OCR happen on your device.
• Server‑side processing: For voice transcription and certain AI text operations, Tool’Ami securely sends the necessary data to our serverless functions to complete the task and send your email.

Service Providers

To deliver features, we use trusted processors that act on our instructions:

• OpenAI — audio transcription and text processing.
• Netlify — serverless execution platform for processing functions.
• Resend — email delivery for messages generated by Tool’Ami.

We transmit only the minimum data needed to complete your request. Content is not retained by Tool’Ami after processing and delivery.

Permissions

• Camera — to scan documents and business cards (requested when first needed).
• Microphone — to record voice notes (requested when first needed).
• Location — optional; only captured when enabled for a document type and actively in use.

Security

• Transport encryption (HTTPS) for all network requests.
• On‑device storage for your settings and contacts. iCloud sync is optional.
• Least‑privilege design for service providers.

Your Rights

Depending on your location, you may have rights to access, correct, delete, or restrict processing of your data. To exercise these rights, contact us at hello@toolami.com.

Children

Tool’Ami is for professional users and is not intended for children under 16. We do not knowingly collect personal information from children.

Changes

We may update this policy to reflect changes in our app or legal requirements. We will revise the “Last updated” date when changes are made.
